The Challenge

A 10-person civil engineering firm was managing projects across disconnected spreadsheets, email chains, and paper files. Project setup was a 45-minute manual process involving folder creation, spreadsheet templates, email labels, and status tracking — all done by hand, prone to errors, and impossible to scale.

The Solution

We built an end-to-end project automation system: SmartSheets for project management with custom templates and automations, Google Workspace integration for document management and email routing, an Apps Script pipeline that creates everything automatically when a project is marked "Awarded," and an AI-powered operations assistant that handles research, communications, scheduling, and technical problem-solving.

The Result

Project setup went from 45 minutes to 60 seconds — fully automated. Seven active projects are tracked across a unified dashboard with real-time reporting. The firm now has an AI assistant that can diagnose engineering problems, draft client communications, and manage day-to-day operations. The owner is investing in a dedicated AI workstation to expand capabilities further.

The Challenge

A multi-location pediatric dental practice with four offices across North Carolina had an outdated website that didn't reflect their professionalism, wasn't mobile-friendly, and had no analytics, no SEO, and no way for Spanish-speaking families to navigate the site. Their Google Business Profiles were unverified and their contact forms weren't working.

The Solution

We designed and built a complete bilingual website (English and Spanish) with dedicated pages for each of the four locations, a blog, patient resources, and integrated contact forms routed to each office. We set up Google Analytics 4, Search Console, verified all four Google Business Profiles, configured Postmark for reliable email delivery, and implemented cookie consent and privacy compliance.

The Result

The practice now has a professional digital presence that matches the quality of their care. Every location has a verified Google Business Profile appearing in local search. Contact forms route to the right office automatically. Analytics track patient inquiries. The bilingual site serves their diverse patient community. Domain migration from the legacy provider was completed with zero email disruption.

The Challenge

A combined law firm and CPA practice was running on legacy email systems with disconnected tools, an inbox buried under thousands of unsorted emails, domains stuck at an outdated hosting provider, and no integration between their legal case management software (LEAP) and their communication platforms. Staff were losing time to manual processes that should have been automated years ago.

The Solution

We deployed Microsoft 365 Business Premium with Copilot AI across the firm, registered a custom Azure AD application for deep API integration, organized 1,195 emails into automated folder structures with smart routing rules, migrated both domains (law and CPA) to modern hosting, set up shared mailboxes between the two practices, and began building out SharePoint document management and Power Automate workflows for client intake.

The Result

The firm now runs on a modern, integrated platform. Copilot AI assists with document drafting, email summarization, and research. Emails auto-sort by client matter. Both domains are on reliable infrastructure with proper security. The foundation is set for LEAP integration, automated client intake, and a complete SharePoint document management system — transforming how the firm operates day to day.

The Challenge

Operating as a sister practice to PHY Law, the CPA firm shared some staff and clients but ran on a completely separate email system hosted at an outdated provider. Client communications were bouncing, MX records were pointing to a dead server, and 55,000 historical emails dating back to 2007 needed to be preserved during any migration — critical for financial record-keeping and compliance.

The Solution

We diagnosed the email delivery failures (MX records pointing to a decommissioned iPage server), initiated domain transfer to modern infrastructure, configured shared mailbox permissions between the law and CPA practices on M365, and built a custom email backup script to archive all 55,000 historical emails in a resumable, fault-tolerant process. The migration was designed for zero downtime — no lost emails, no disrupted client communications.

The Result

The CPA practice now shares a unified M365 platform with the law firm while maintaining separate client communication channels. All historical emails are preserved and accessible. Domain hosting is on reliable modern infrastructure. Staff can seamlessly work across both practices with proper shared mailbox access and permissions — one login, two practices, zero confusion.
